Contact Form Processing

Current Website Implementation

Information submitted through the website contact form is provided voluntarily by the visitor and is processed through the AIVORA website backend.

When a visitor submits an enquiry:

• The information entered in the form is transmitted to AIVORA over an encrypted connection.
• The submission is checked for automated abuse and validated before it is accepted.
• The enquiry is sent by email to AIVORA's designated contact address.
• The email address provided is used so that AIVORA can reply to the enquiry.
• AIVORA does not currently store submitted enquiry information in a website database.

Attachments

The contact form allows a visitor to attach files to an enquiry. Attachments are optional, and an enquiry can be sent without them.

• Attached files are used only to handle the enquiry they were sent with.
• Files are stored temporarily through the infrastructure providers required to operate the website, and are not stored in an AIVORA website database.
• Files are deleted after the enquiry has been delivered.
• Where an upload is incomplete or an enquiry is not submitted, any remaining files are removed automatically through scheduled cleanup.

Once received by email, enquiry information may be processed for:

• responding to business enquiries
• preparing proposals
• providing requested information
• maintaining business communication records

Analytics

AIVORA uses Google Analytics 4 (GA4) to understand website usage and improve website performance.

GA4 may collect information such as:

GA4 does not provide AIVORA with personally identifiable information from normal website visits.

Current website operation:

• No customer account database is created from contact enquiries.
• No payment information is collected.
• Enquiry information is processed in order to handle the request it relates to, and is not stored in a website database.
• No authentication system exists.
• Files attached to an enquiry are held only for as long as is needed to deliver it, and are not stored in a website database.

Enquiry information may be temporarily processed by the service providers required to deliver it, as described under Data Sharing.

Business communication records may be retained within AIVORA email systems according to operational requirements.

Data Sharing

AIVORA does not sell personal information.

Information may be shared only with:

• Service providers required for website operation
• Business partners where necessary to provide requested services
• Authorities where legally required

The service providers used to operate the website and deliver enquiries are:

• Vercel Inc. — website hosting and infrastructure
• Resend — the email service used to deliver enquiry emails sent from the website
